How to Organize Parent-Teacher Conferences with QR Codes

Ditch the paper logs. Here is a step-by-step tutorial for setting up a secure, digital check-in system for your next school event.

1. Prepare Your Appointment List

Start with a Google Sheet containing your schedule. Essential columns usually include 'Parent Name', 'Student Name', 'Teacher/Room', and 'Time Slot'. You can also include 'Email' or 'Phone Number' for sending the passes.

2. Configure the Add-on

Open 'QR Code Ticket' in Google Sheets. Map your columns to the ticket fields. If you are managing strict time slots, set up 'Sessions' corresponding to your schedule blocks. Customize the email template with arrival instructions and school logo.

3. Check-in and Track

On the day of the conference, staff use the mobile check-in app to scan the QR code on parents' phones or printed papers. The system validates their appointment instantly. After the event, your Google Sheet will be updated with exact arrival times for your records.
