How to Organize a Sports Team Registration with QR Codes
A playbook for setting up professional player verification in under 10 minutes.
1
Centralize Your Roster
Start by organizing your athlete data in Google Sheets. Include essential columns such as Athlete Name, Team Name, Division, and Emergency Contact. If you have liability waivers, you can add a column indicating 'Signed' status to verify it instantly upon scanning.
2
Generate and Distribute Player Passes
Open the QR Code Ticket add-on. Map your data columns to the ticket design—ensure the player's name and team are clearly visible. You can even include a team logo. Once designed, use the add-on to email these digital passes to parents or coaches, or send them directly via WhatsApp for easy access on phones.
3
Execute Game Day Verification
On the day of the event, have your staff or volunteers download the check-in app. Sync the roster to their devices (enabling offline mode if needed). As athletes arrive, scan their codes to check them in, verify their eligibility for the specific game or session, and keep the line moving fast.
