How to generate QR code tickets from a Google Sheet

The short answer

If your guest list already lives in a Google Sheet, you do not need to move it anywhere. Install the QR Code Ticket Per Row add-on from the Google Workspace Marketplace, point it at your sheet, and it creates one personal QR code ticket per row. You can then email the tickets and scan them with any smartphone on event day, with check-ins written back into the same sheet.

Step by step

  1. 1.Install the add-on

    Install QR Code Ticket Per Row For Check-In from the Google Workspace Marketplace. It runs inside Google Sheets, so there is nothing else to set up.

  2. 2.Open your guest sheet

    Open the spreadsheet that holds your guests, one person per row, with a title on the first line of each column. Start the add-on from the Extensions menu; it opens as a panel next to your data.

  3. 3.Create the QR codes

    Press the button that creates the missing codes. The add-on adds a few columns to your sheet, including a personal ticket link for each guest. Open one link to see the PDF ticket.

  4. 4.Make the ticket yours

    Add your logo, pick a background, and choose which columns appear on the ticket, such as the guest name and ticket type. The preview updates as you change things.

  5. 5.Send a test to yourself

    Put your own address on one row and send that ticket by email. You will receive exactly what your guests will receive: an email with the ticket attached as a PDF.

  6. 6.Scan it with your phone

    Open the check-in scanner on your phone and show it the QR code from the ticket. You hear a confirmation sound, see the guest name, and the row in your sheet changes to checked in.

Common questions

Do my guests need an app to use their ticket?

No. Each guest receives a normal PDF ticket by email. They show it on their phone or on paper, and your staff scan it.

What happens when I add new guests to the sheet?

You can create codes for the new rows at any time, or turn on automatic ticket creation so new rows get their ticket without you doing anything.

How many guests can one sheet handle?

Up to 10,000 attendees per project, and you can try everything for free with up to 10 attendees.
