How to track attendance with Google Forms

The short answer

A Google Form is a great sign-up sheet, but it only tells you who registered, not who showed up. The QR Code Ticket Per Response add-on closes that gap: each person who fills your form gets a personal QR code by email, and you scan those codes when people arrive. The result is a real attendance record — who came, when, and how often — which works as well for a one-day seminar as for a training that runs every week.

Step by step

  1. 1.Collect sign-ups with your form

    Keep using the Google Form you already have. Just make sure it asks for an email address, so each person can receive their code.

  2. 2.Send each person their QR code

    The add-on emails every respondent a personal QR code automatically. For recurring programs, the same code can be reused at every session.

  3. 3.Scan when people arrive

    At the door, scan each person's code with your phone. The scan records who came and at what time, without any manual list-checking.

  4. 4.Allow repeat check-ins for recurring programs

    For weekly classes, trainings, or multi-day events, allow multiple check-ins per person so the same code works every session, and each day is recorded separately.

  5. 5.Read your attendance reports

    The reports show attendance per person and per session: who came every week, who dropped off, and how full each session was.
