How to check in event attendees using Google Sheets
Updated May 20, 2026. Publisher: QR Code Ticket by Darkaa.
The short answer
You can run professional event check-in directly from a Google Sheet. The QR Code Ticket add-on gives each guest on your sheet a QR code ticket, and your team scans those tickets with their phones at the door. Every scan is written back into the sheet, so your attendance record is a spreadsheet you already know how to use, not a report locked inside another platform.
Step by step
-
1.Give every guest a QR ticket
Install the QR Code Ticket Per Row add-on, point it at your guest sheet, and create one QR code per row. Send the tickets by email or WhatsApp before the event.
-
2.Open the scanner on your phone
From the add-on's check-in page, open the scanner on your phone and allow the camera. It works in the browser, so there is no app for your staff to install.
-
3.Share the scanner with your team
Invite as many helpers as you need. Each person scans on their own phone, and all scans go to the same guest list. There is no limit on check-in staff.
-
4.Scan tickets at the door
Show a ticket to the camera. A valid ticket gives a confirmation sound and the guest's name; a ticket that was already used is flagged right away, so nobody enters twice on one ticket.
-
5.Watch your sheet fill in
Every check-in appears in your spreadsheet with the time it happened. During and after the event, you can see who came, who did not, and when people arrived.

Common questions
Does check-in work without internet at the venue?
Yes. The scanner keeps working offline and sends the check-ins to your sheet once the connection returns.
Can several people scan at the same time?
Yes. Any number of staff can scan on their own phones at the same time, at one entrance or several.
What if someone shows the same ticket twice?
The scanner recognizes tickets that were already used and warns your staff immediately, so duplicates are caught at the door.
