The Oakfield Parents' Association (name changed) sells family tickets to its spring fair. One parent buys for the whole household: two adults, three kids — five tickets, one purchase, one email address.

The situation

The old system was one QR code per purchase, which meant the whole family had to arrive together and enter together. Families do not work like that: one parent arrives early to help, kids come later with grandparents.

The gate also needed re-entry — people go back to the car, kids leave and return.

The setup

Part 1

One row, several tickets

A 'tickets' column holds the number of family members. The add-on creates that many individual QR tickets from the single row and delivers them in one email.

Every ticket is allowed several check-ins, so leaving and coming back just works — no hand stamps, no arguing at the gate.

Tickets are only created once the payment column says Yes, so pending orders never receive a working QR code.

Volunteers at the gate

Parent volunteers scan with their own phones in shifts. The committee watches the running visitor count from the sheet during the fair.

What happened

Nearly 1,000 tickets issued from a few hundred family rows, and a measured 65% attendance rate — the first year the association had a real number instead of a guess.

The measured turnout now drives stall planning and catering orders for the next fair.
