Weekly club nights with VIP, Gold, and General tickets from parallel sheets

Nightlife promoter running recurring themed club nights · Google Sheets add-on

Velvet Nights (name changed) runs themed club events most weekends. Every night has tiers — VIP tables, Gold early entry, General Admission — and each tier has its own price, its own perks, and its own list.

The situation

The door must treat tiers differently: VIPs skip the queue and get table service, Gold enters early, GA enters after ten. One mixed list with a 'tier' column was error-prone at 11pm in a dark doorway.

Events repeat weekly, so setup time per event had to be near zero.

The setup

Part 1

One sheet per tier, per night

VIP, Gold, and GA are separate projects with visibly different ticket designs. A scanner at the VIP rope only accepts VIP tickets — wrong-door mistakes disappear.

Part 2

Tickets sold until doors open

New buyers are added to the sheet all evening; tickets go out automatically as rows arrive, even while the event is already running.

Guide: Send tickets automatically for new rows

Part 3

Re-entry under control

Smokers' re-entry is handled with a check-in allowance per ticket instead of hand stamps.

Guide: Max check-ins per attendee

Part 4

Next week: copy, rename, go

Each week's event is a copy of last week's three sheets with a new name and artwork. Setup takes minutes, and unused check-in credits carry over to the next night.

What happened

Thirty-eight events in a year on the same pattern, with tier mix-ups at the door effectively gone.

Per-attendee pricing matches the business: a slow night costs little, a big night pays for itself.
